Arclynx Take the AI audit

AI automation for property managers that works inside your PMS, not beside it

We build AI automations that triage work orders, check vendor COIs, answer prospects with the same facts every time and draft owner statement notes, wired into AppFolio, Buildium, Rent Manager, RentVine or Yardi Breeze through the access each one actually gives you.

  • Habitability emergencies separated from cosmetic requests at intake
  • Vendor COIs checked before a work order is assigned
  • Owner statement notes drafted from the GL, not from memory

Where a property management office loses its week

The 9 p.m. 'water on the floor' message

Burst supply line or condensation drip? Someone has to read it and look at the photo. When it sits until morning, a habitability issue becomes a ceiling repair, a claim and an angry owner.

Vendors working on expired paper

Your HVAC vendor's liability coverage lapsed in March, and nobody noticed because the COI is a PDF on a vendor record. Then a tech gets hurt and the owner asks why you dispatched them.

Owner statements that need a story

The PMS produces the numbers. Owners want to know why the repairs line tripled, and portfolio managers spend the first week of every month writing that explanation by hand.

What we build for property management companies

Your PMS stays the system of record. Each automation reads from it, writes back where the vendor's API allows, and leaves people in charge of money, legal notices and applicants.

Work order intake and triage

Reads the portal request, text or email and its photos, sets trade and urgency against your written emergency definition, creates the work order and pages on-call for true emergencies.

Vendor COI tracking

Reads each vendor's certificate for expiration dates, limits and whether your company and the owner are named as additional insured, and blocks assignment when coverage is missing or expired.

Prospect replies from one script

Every inquiry gets the same facts: rent, deposit, available date, written screening criteria and pet policy, drawn from the listing record. No improvised answers that change with who is asking.

Accommodation request routing

Messages that read like a reasonable accommodation or modification request, such as an assistance animal, are flagged for a trained staff member. The AI does not answer them.

Owner statement commentary

After close, drafts a short note per owner explaining variances: the water heater in unit 4, the vacancy in unit 2. A portfolio manager edits and sends it.

Move-out and deposit timeline

When a notice to vacate is entered, the move-out inspection, deposit return deadline and itemization draft are scheduled against the timeline your state sets, with staff approving every deduction.

Built for the ways property management goes wrong

Fair housing designed in

The Fair Housing Act bars ads and statements that indicate a preference based on a protected class. Leasing replies come from approved text, the same for every prospect, and your counsel reviews that text.

We know which PMS doors are open

Buildium's Open API comes with its Premium plan, AppFolio's API access depends on plan tier, and Yardi gates Breeze access through its own programs. We design around what your account actually has, including exports.

State rules stay configurable

Entry notice, deposit return deadlines and late fee limits differ by state and sometimes by city. Those timelines are settings your team confirms, not assumptions buried in code.

Resident data stays in your accounts

Resident and owner data stays in your PMS and in model and hosting accounts in your company's name, documented and monitored monthly.

Common questions

Can AI decide whether a maintenance request is an emergency?

It proposes a priority from your written emergency definition and the photos. Emergency matches page on-call immediately and borderline requests go to a person.

Our PMS is Yardi Breeze. Is that a dead end?

No, but it changes the build. Breeze customers do not get a self-serve open API, so we usually work from scheduled report exports and prepare entries for staff to post.

Will it answer prospects who ask what the neighborhood is like?

Only with neutral facts like distance to transit, and it points to public sources for schools or crime. Describing who lives somewhere invites steering complaints, so your approved script sets the exact wording.

Can it send late notices or notices to vacate?

It can draft them from the ledger and your templates. Notice periods and required content vary by state, so a staff member reviews and serves every formal notice.

How do you handle texting residents?

Texts go only to residents with recorded consent, and opt-outs are honored right away, because the TCPA restricts automated texts without it. Your counsel approves the consent language on leases and forms.

Does this replace AppFolio, Buildium or Rent Manager?

No. Your PMS stays the system of record. We add AI work on top, built on the major model APIs, in accounts your company controls.

Take the AI audit
  1. Pull 90 days of work orders

We export a quarter of work orders and resident messages and grade how each was triaged, so the AI learns where your emergency line sits, not a generic one.

  2. Write the rules with your team

Your maintenance coordinator and compliance lead sign off on emergency definitions, vendor insurance requirements, approved leasing language and what always goes to a human.

  3. Shadow one queue

One workflow, usually maintenance intake, works alongside staff for a few weeks. Each suggestion is approved or corrected before anything is sent or created.

  4. Hand over the keys, keep watching

It goes live in your accounts, documented. Each month we review misroutes and update for new vendors, new properties and PMS changes.
