AI automation for general contractors and subs running on RFIs, pay apps and paper
Commercial GCs and specialty subcontractors lose PM and project accountant hours to ITBs, RFI logs, submittal registers, PCOs, G702/G703 pay applications and lien waivers. We build AI that reads, logs, drafts and chases that work across Procore, Autodesk Construction Cloud and your job cost system, and your people approve what leaves the building.
- ITBs from BuildingConnected and PlanHub sorted by trade and due date
- RFIs and submittals chased by ball-in-court, not by memory
- Pay apps held until waivers and COIs are in the file
The paperwork that decides whether a job makes money
A PCO that never became a change order
Extra work gets done in the field, the PCO sits in a PM's inbox, and by the time it is priced and sent the owner disputes it. Margin leaks one unsigned change at a time.
Pay apps stall on missing waivers
The G702 is ready, but a second-tier sub's conditional waiver is missing or the wrong form for the state, and the draw slips a month. Retainage gets harder to collect from there.
RFIs with no clear ball-in-court
An RFI goes to the architect, sits for twelve days, and nobody notices until the schedule shows a crew waiting. The log says open. It does not say who owes the answer.
What we build for GCs and subcontractors
Custom code on the major model APIs, connected to tools like Procore and Autodesk Construction Cloud through their official APIs, and to Sage 300 CRE, Foundation or Viewpoint Vista through exports or partner integrations where those systems are closed. PMs and project accountants approve anything that touches money or goes to an owner, architect or sub.
ITB and bid invite triage
Invites from BuildingConnected, PlanHub and GC emails are read for scope, trade, bond requirements, prevailing wage and due date, then ranked for a go or no-go call.
RFI and submittal registers
Each RFI and submittal is logged with spec section, ball-in-court and required-by date, then chased with a reminder that names the drawing and the schedule activity it holds up.
PCO to change order tracking
Field changes become PCOs with photos, T&M tickets and RFI references attached, tracked until the owner signs or the PM closes them out.
Pay application prep
Schedule of values progress, stored materials and retainage are pulled into a draft G703 continuation sheet for the project accountant to check before the G702 is certified.
Waivers, COIs and notices
Conditional and unconditional waivers, sub COIs and preliminary notice dates are tracked per job, with gaps flagged before a draw goes out.
Daily logs and safety notes
Superintendent texts, photos and voice notes become a daily log with manpower, weather, deliveries and incidents, ready for the PM to review.
Specific services for construction companies
AI agents
AI agents for construction that triage ITBs, chase RFIs by ball-in-court, prep pay apps, check waivers and certified payroll, with a PM approving each.

Project documents
RFIs, submittals, PCOs, pay apps, lien waivers and sub COIs logged and chased.
Daily reports
Super notes turned into daily logs with weather delays, manpower and safety observations.
AI agents
Six agents built for GC and sub workflows, each with a narrow job and a human approver.
Sub invoices against commitments
Invoices matched to subcontract commitments and cost codes before they post to job cost.
Residential remodeling instead?
Homeowner sales, selections and lead-safe paperwork for remodelers.
Why GCs and subs trust it with project records
Built for the contract trail
Every drafted RFI, PCO and notice keeps a link to the email, photo or ticket it came from, so a claim or dispute has its backup months later.
State lien rules stay with your people
Preliminary notice and waiver rules vary by state. We track the dates and forms your counsel sets for each job and never pick a form on our own.
Money moves only with approval
Pay apps, change order pricing and sub payments wait for a PM or project accountant. The automation drafts and flags. It does not certify.
Your accounts, your job history
Code, model accounts and logs sit in your company's name on terms that exclude training on your data, and we maintain them monthly as jobs and tools change.
“He got me 9 sales in my first 7 days of launching our campaign, which exceeded my expectations!”
Common questions
What can AI automation do for a commercial contractor?
It handles the document flow around the work: sorting ITBs, logging and chasing RFIs and submittals, turning field changes into PCOs, drafting G703 continuation sheets and tracking waivers, COIs and notice dates. Your PMs and project accountants approve the output.
We run Procore for projects and Sage 300 CRE for accounting. Does that work?
Yes. Procore has an official API we build against. Sage 300 CRE has no modern open API, so we work from its reports and exports and keep a person in the loop for anything that posts to job cost.
Can it read our subcontract to know what retainage to hold?
It can pull the retainage rate and billing terms from the executed subcontract and flag when a pay app does not match. The project accountant still decides what is held and released.
Will it help on Davis-Bacon or prevailing wage jobs?
It can check that each sub's weekly certified payroll, often on the DOL's optional WH-347 form, has arrived and that classifications match the wage determination on file. Your payroll or compliance lead signs off.
Do supers have to learn a new app?
No. They keep texting, emailing or using the Procore or ACC mobile app. The automation picks up what they send and turns it into a log entry.
Is this for residential builders on Buildertrend too?
It can be, but Buildertrend limits API access to partners, so we work from its exports and notifications. Remodelers with homeowner-facing sales usually fit our remodeling pages better.
Find the paperwork costing you the most margin
Take the 2-minute AI audit and see which construction workflow to automate first for a GC or sub your size.
- Pull the open logs on two live jobs
We read your current RFI log, submittal register, PCO list and last three pay apps to see where items stall and who is waiting on whom.
- Pick the leak that costs the most
Usually that is unbilled change work or pay apps held by paperwork. We scope one workflow around it and agree on what a PM must approve.
- Shadow a full pay cycle
The automation drafts and flags for one billing month while your team does the real work beside it, so you see every miss before it counts.
- Hand off, then tune monthly
Once the drafts are right, PMs approve instead of retyping. We watch for Procore or ACC API changes and new job setups and keep it current each month.
