Arclynx Take the AI audit

AI automation for dental practices, built around the schedule and the ledger

Most front office time goes to work the practice software cannot finish on its own: benefit lookups the 271 leaves half done, recall lists nobody reaches the bottom of, and treatment plans that sit in the unscheduled report. We build AI that does that prep inside Dentrix, Open Dental, Eaglesoft and similar systems, and your team signs off before a patient or a chart is touched.

  • Benefit breakdowns ready before the hygiene column fills
  • Recall worked by due date, recall type and family
  • Unscheduled treatment chased before benefits reset

Three places a dental front office bleeds hours

The 271 says active, and little else

Clearinghouse eligibility confirms the plan is active and shows a deductible. Frequencies, last D1110 date, waiting periods and missing tooth clauses still mean a payer portal login or a call.

Recall is a report, not a process

The past-due recall list in your practice software runs long. Someone texts the top of it on a slow afternoon, and patients further down drift past a year without a cleaning.

Accepted treatment that never lands on the book

A crown or SRP is diagnosed, the estimate is printed, and the patient says they will call. Without a follow-up owner, it shows up again in December when the annual max is about to reset.

What we build for the front office and billing desk

Custom code on the major model APIs, wired to your practice management system and payer sources. It prepares, drafts and flags. Dentists and hygienists make every clinical call.

Eligibility and benefit breakdowns

Starts from the 270/271 response, fills the gaps from payer portals like Delta Dental, MetLife or Cigna, and writes a breakdown note for staff to confirm.

Hygiene recall outreach

Texts and emails patients by recall type and due date, keeps perio maintenance separate from prophy, and lists who still needs a personal call.

Unscheduled treatment follow-up

Works the treatment plan backlog by procedure and remaining benefits, and routes cost or financing questions to your treatment coordinator.

Self-pay estimate drafts

Prepares good-faith estimates from your fee schedule and the planned CDT codes for uninsured and self-pay patients, for staff to check and send.

New patient packet prep

Reads intake forms and insurance card photos into fields, catches a missing subscriber birthdate or group number, and queues it before the first visit.

Claims and ERA follow-up

Matches 835 remittances and paper EOBs to open claims and flags denials, downgrades and underpayments for your billing lead.

Built for PHI, payers and clinical boundaries

PHI stays with vendors under a BAA

Model, hosting and texting providers that touch patient data sign a Business Associate Agreement. We confirm BAA coverage for every vendor in the build before kickoff. Your privacy officer decides what is acceptable.

Admin work, never diagnosis

The automation reads benefits, schedules and balances. It does not recommend treatment, interpret radiographs or tell a patient what they need.

Payer data treated as a lead, not a promise

A breakdown reports what the payer returned. Patient-facing estimates keep the language that coverage is not a guarantee of payment.

Practice software stays the record

Notes and changes land in Dentrix, Open Dental or Eaglesoft where your team already looks. Code, logs and model accounts stay in the practice's name.

Common questions

What can AI automation do for a dental practice?

It handles front office prep: benefit breakdowns, recall outreach, unscheduled treatment follow-up, self-pay estimates, intake packets and remittance matching. Staff review the output and clinicians keep every care decision.

Does it work with Dentrix, Open Dental or Eaglesoft?

Open Dental has an API we build against. Dentrix and Dentrix Ascend open data through Henry Schein One's developer programs, and Eaglesoft through Patterson's partner program. Where access is not granted, we use scheduled exports.

Can it pull frequency limits the clearinghouse does not return?

Yes, that is a main job. When the 271 is thin, the agent checks the payer portal for frequencies and history and flags anything still missing for a call.

How do you handle HIPAA?

We do not make that claim for anyone. We design so PHI only goes to vendors that sign a BAA, access is limited and logged, and the data flow is documented for your privacy officer.

Can patient texts mention their treatment?

We keep text bodies to scheduling language and a link, with details behind a secure page or a call. Your team sets the wording, and STOP replies are honored right away.

Will it work for a multi-location group?

Yes. Each location can keep its own fee schedule, recall rules and payer logins, with one review queue or one per office.

Take the AI audit
  1. Pull a month of schedules and claims

We look at your payer mix, recall setup and unscheduled treatment report to find where the hours really go.

  2. Pick one desk task

Usually verification for next week's hygiene column or the past-due recall list. One workflow, one owner on your team.

  3. Staff sign off on every output

Each breakdown, message and note sits in a review queue until your team trusts it. Rules loosen only where the error rate earns it.

  4. Monthly upkeep as payers change

Portals redesign, plans renew and practice software updates. We watch for breakage, fix it and add the next workflow when you are ready.
