Leasing automation that gives every prospect the same answer, fast

For leasing teams buried in Zillow Rental Manager, Apartments.com and website inquiries. Each prospect gets rent, deposit, screening criteria and open showing times from the unit in your PMS, in the same words for everyone.

  • Answers drawn from the listing record, not memory
  • Showings booked against your leasing calendar
  • Incomplete applications chased item by item

Why units sit vacant longer than they should

The answer depends on who replies

One leasing agent says cats are fine, another says no pets. Uneven answers lose leases and create exactly the pattern a fair housing tester documents.

Applications stall on one document

An applicant uploads two pay stubs instead of three, or the co-applicant never finishes. The application sits in pending in AppFolio or Buildium, and nobody looks at it for a week.

Listings drift out of date

The unit leased Tuesday but still shows on three listing sites. Prospects keep asking, staff keep explaining, and the next available unit never gets mentioned.

What the leasing automation handles

Every message comes from language your team approves. Every decision about an applicant stays with a person.

Inquiry replies from the unit record

Pulls rent, deposit, available date, pet policy and written screening criteria from the unit in your PMS and replies within minutes, citing the same criteria to every prospect.

Showing booking

Offers open slots from the leasing calendar and sends confirmations and reminders. For self-guided tours, access details are released only after your ID verification tool clears the prospect.

Missing-item follow-up

Checks each pending application daily, names the exact gap (third pay stub, co-applicant consent, pet documentation) and reminds the applicant until the file is complete.

Accommodation and voucher questions to staff

Questions about assistance animals, accessibility or paying with a housing voucher go to trained staff. Source-of-income protections exist in a number of states and cities, so these never get an automated answer.

Adverse action handoff

When staff deny or condition an application based on a screening report, the system prepares the FCRA adverse action notice from your template for staff to send. It never makes the decision.

Lead source and vacancy reporting

Logs each lead with source, response time, showing and outcome, so you see which listing site actually fills units.

Where leasing automation plugs in

Listing site inquiries

Zillow Rental Manager, Apartments.com and similar leads parsed from lead emails or feeds into a guest card.

AppFolio, Buildium and RentVine guest cards

Leads written through the API where your plan allows it, or queued for staff to enter where it does not.

Website and email leads

Contact forms and the leasing inbox answered from the same reply library.

Pending applications

A daily check against application status in your PMS, with gap-specific reminders.

After the lease is signed

Move-in, renewal and policy questions handed to resident communication.

One agent among several

Leasing works alongside maintenance and owner statement agents.

Built for fair housing exposure, not around it

Same facts, same words, every prospect

Fair housing testers compare how different prospects are treated. Answers come from one approved library and are logged, so you can show what every prospect was told.

No steering, no screening

The automation does not describe who lives in a neighborhood, suggest which units suit which households, or approve, deny or price anyone. Those calls stay with staff.

Disclosures follow the unit

Units built before 1978 are flagged so the federal lead-based paint disclosure and pamphlet go out with the lease packet, and staff confirm they were sent.

Applicant documents stay put

Pay stubs and IDs stay in your PMS or screening tool. The automation reads application status to find gaps and does not copy files anywhere new.

Common questions

What is leasing automation?

Software that answers rental inquiries, books showings and chases incomplete applications using your PMS listing data and an approved message library, with every screening decision left to staff.

Can it tell a prospect whether they will qualify?

No. It shares your written screening criteria, word for word, with everyone who asks. Whether a specific applicant qualifies is decided by staff after screening.

What happens when someone asks about an emotional support animal?

That is a reasonable accommodation request under the Fair Housing Act, so it goes straight to a trained staff member. The automation confirms receipt and does not ask about the disability.

We list on Zillow and Apartments.com. Do those leads reach our PMS?

Yes. Leads arriving by email or feed are parsed and written to a guest card where your PMS API allows, or placed in a review list where it does not, as with many Yardi Breeze accounts.

Can it text prospects?

Only when the prospect has consented, for example by checking a box on your inquiry form, and any opt-out stops texts immediately. The TCPA governs automated texting, and your counsel approves the consent language.

Can it offer a concession to close a lease?

No. It quotes the listed rent and any concession already published on the listing. Anything new is drafted for a manager to approve.

Take the AI audit
  1. Collect your criteria in writing

We gather written screening criteria, pet and deposit policies and current leasing scripts. Gaps between what agents say and what is written get resolved first.

  2. Draft the approved reply library

Inquiry, showing, follow-up and do-not-answer templates are written and reviewed by your leasing lead and counsel before any go live.

  3. Reply alongside your leasing agents

For the first few weeks every reply is a draft an agent approves, edits or rejects. Their edits refine the library.

  4. Keep listings and scripts current

As units turn, policies change or a listing site changes its lead format, we update the automation in the monthly review.
