AI automation for insurance agencies, built around your AMS and your licensed staff

For independent P&C agencies running Applied Epic, AMS360, HawkSoft, EZLynx or NowCerts. We build automations that read the ACORD forms, loss runs and carrier mail your CSRs handle all day, write activities back to the AMS, and stop short of anything that needs a license.

  • Carrier notices attached and diaried, not left in a shared inbox
  • COI requests checked against the actual endorsements
  • Renewals surfaced with loss runs already requested

The gaps your AMS does not close

Download covers less than you think

IVANS download brings in policy data for the carriers that support it. Notices, endorsements and nonrenewal letters from portal-only carriers still arrive as PDFs that someone has to attach and note.

Every carrier wants it typed again

The same named insured, FEIN, class codes and vehicle schedule go into the AMS, then a comparative rater, then four carrier portals that each ask in a different order.

Undocumented calls turn into E&O claims

A client turns down umbrella on the phone. The CSR means to note it, and two years later the file has no activity showing the offer was ever made.

What we automate across the agency

Each automation runs on the major model APIs in accounts your agency owns. It reads, prepares and logs. Licensed staff quote, recommend and bind.

Carrier mail filing

Endorsements, cancellation notices, audit requests and nonrenewals are read, matched to the policy number and attached in the AMS with an activity and a follow-up date.

COI request checks

ACORD 25 requests are compared to the policy's endorsements, so a holder asking for additional insured or waiver of subrogation on a policy without it goes to a CSR instead of out the door.

Renewal runway

Accounts nearing expiration get a prep file with current schedules, premium history and open claims, and the loss run request is already with the carrier.

New business intake

Web leads and emailed applications become a prospect record with the x-date, current carrier and the answers a producer still needs before quoting.

Service inbox triage

Driver adds, vehicle swaps, mortgagee changes and billing questions are sorted, matched to the client and drafted for a CSR to finish.

Licensed task routing

Anything that reads like a coverage question is routed to a licensed person by design, which keeps the automation and unlicensed staff on clerical work.

Where to start at your agency

Renewal automation

Expirations pulled early, loss runs requested and remarketing flags raised for producers.

Document automation

COI requests, carrier mail and endorsement changes read, matched and prepared.

Quote intake automation

ACORD 125, 126 and 140 data pulled from what prospects send, ready for the rater.

AI agents for agencies

Single-job agents for loss runs, policy checking, premium audits and x-dates.

Applied Epic and AMS360

Both vendors gate API access through partner and developer programs. Where your agency can get access we use it, and where it cannot we work from scheduled exports.

HawkSoft, NowCerts and EZLynx

HawkSoft's partner API supports client reads and log notes, NowCerts publishes an API, and EZLynx depth depends on what the vendor grants your account.

Designed around licensing, E&O and GLBA

Unlicensed work stays clerical

State producer licensing rules limit what unlicensed staff can discuss with clients, and the lines vary by state. Our automations never recommend coverage, so they do not add a new unlicensed voice to the file.

The file shows what was offered

Every email, declination and client reply the automation handles is written back as an AMS activity, which is the record an E&O carrier asks for after a claim.

Client NPI handled as NPI

GLBA privacy and safeguard duties reach insurance agencies through state insurance regulators, and many states have adopted the NAIC Insurance Data Security Model Law. We design around both; your compliance lead decides what is enough.

Built in your name, checked monthly

Code, hosting and model accounts belong to the agency. Each month we review runs and update parsers when a carrier changes a notice layout.

Common questions

How can insurance agencies use AI?

On the paperwork around the sale: filing carrier mail, prepping renewals, checking COI requests, reading applications and loss runs, and triaging service email. Licensed staff keep every coverage conversation.

Does this replace IVANS download?

No. Download stays the source for the carriers that support it. We handle what it misses: portal-only carriers, PDFs that arrive by email, and the activity notes download never writes.

Can our unlicensed CSRs work from what it produces?

Yes, for clerical tasks like attaching documents, requesting loss runs and gathering application data. Anything touching coverage goes to a licensed person. Licensing rules differ by state, so your principal sets the lines.

What if our AMS vendor will not give us API access?

We can usually work from scheduled exports and write back through what the system allows, or put results in a review queue that staff post from. We tell you upfront which parts that limits.

How is nonpublic personal information protected?

Data stays in accounts your agency controls, each workflow sees only the fields it needs, model providers run on business terms that exclude training, and every access is logged.

Can something be running before the 1/1 renewal wave?

If we start with a single workflow, usually yes. Carrier mail filing or renewal prep can run in shadow mode within a few weeks, which gives CSRs relief before the heaviest renewal month.

Take the AI audit
  1. Sample a month of carrier mail

We pull 30 days of what lands in your service and carrier inboxes and sort it by document type, carrier and how long each item sat.

  2. Write filing rules with your lead CSR

Your most experienced CSR tells us how each document type should be attached, noted and diaried. That conversation becomes the logic.

  3. Shadow one carrier group

The automation proposes every attachment and activity, and a CSR accepts or corrects each one until accuracy holds.

  4. Add renewals, COIs and intake

Once filing is trusted we build the next workflow, review every run monthly and adjust when carriers change their forms.
